What are the legal grounds for using your data?

Privacy laws require us to say what “legal grounds” we have for using your data. We need data from you because of contractual agreements between you and Scholtens Workplace, such as your purchase of a product or your right to warranty. This is the case with:

  • Ordering & pre-order|.
  • Delivery
  • Return & repair
  • Trade-In & Second Chance
  • Contacting our customer service

In addition, we may use your data in cases of “legitimate interest. This means that we want to provide the most optimal, personalized service to all our customers. In doing so, we always consider your privacy. This applies to:

  • Reviews & customer satisfaction survey
  • Contacting our customer service
  • Visit of the Scholtens workplace website
  • Account
  • Newsletter & email
  • Personal advice
  • Actions
  • Social media

We may also have a legal obligation to use your data, for example, if we suspect fraud. And sometimes you yourself have given us permission to use your data, such as when you sign up for the newsletter. We keep this neatly.


What data of yours do we store?

The data we store about you is the data you share with us when requesting a quote or placing an order.
This may be by phone, email, a visit to our store or an order on-line.
The data we store is limited to:
– NAW data ((company) name, address, place of residence)
– email address
– (mobile) phone number
– the products you ordered from us
– the language you use when ordering (English or Dutch)
– any reference or purchase number


Who has access to your data?

We provide your information to other parties only when truly necessary for our services. These parties would be: delivery partners, suppliers or repairers, product support, payment partners, IT service providers and parties that collect our reviews. After all, our delivery partner has to deliver your order to the right address, and it’s nice to have a repairman come to your home to fix your chair. And not accidentally standing on the neighbor’s doorstep with a chair. Parties such as data management platforms, media and advertising agencies and research firms come into the picture as soon as we want to give you personal advice or show you targeted ads, for example, based on your interest in certain products. In suspicious situations, we are required to share customer information with government agencies.

The parties who receive access to your information from us may only use it to provide a service to you on behalf of Schotens Workplace. Unless they themselves are responsible for obtaining and protecting your data. Some cookie developers have access to the data that cookies collect on our website. You can read more about this in our cookie statement and the privacy policies of these parties. We never sell your information to third parties.


Where will your data be stored?

We store your data in several databases. We always maintain strict security measures. Home sweet home: that’s why your data is almost always stored within the European Union. In the exceptional case that customer data is transferred to countries outside the European Union, we ensure that your privacy remains appropriately protected. With a foreign supplier, only your name and address are known so that an item can be delivered directly to you. Some U.S. parties have registered under the Privacy Shield that provides adequate protection. Or we work with official model contracts designed specifically to safeguard your privacy.


How long do we keep your data?

We do not store and use your data longer than necessary. Then we delete all the data we have on you. Or do we use your data anonymously because we need certain data for internal analysis and reporting such as the value of your order.

Sounds nice and simple, but how does it work in practice? We keep certain time limits, after which we delete your data. These are them:

  • We delete inactive customer accounts after 10 years. After that period, we use your data anonymously only, for internal reporting purposes.
  • The Internal Revenue Service requires us to keep our records with your invoice, payment and order information for 7 years. After that, we only use anonymous data for internal reporting. You yourself should also keep the invoices of your purchases well, for when your warranty expires, for example.
  • If you have your product repaired or replaced by Scholtens Workplace, we will keep your report and contact information for 7 years. After that, we use your data anonymously only, for internal reporting purposes.
  • If you have signed up for the newsletter or consented to receive personalized messages, we keep that consent for 5 years. Also, if at any point you decide that you no longer wish to receive the newsletter or personalized messages, we will retain the withdrawal of your request. We do not store the emails you receive from us for more than 60 days. So you don’t have to worry about getting the same mail from us more often.
  • We keep data we use to prevent fraud for a very long time. Not fun, but necessary.


What are your rights?

Of course, you remain in charge of your data. Would you like to see your personal data for free and receive a copy? Or would you like to change, delete, restrict use or adjust your email preferences? No problem. You can do this yourself in your account. Or you let us know by mail or e-mail. In this way, you can also object to the use of your data for marketing purposes or indicate that you feel your privacy outweighs our interest. In that case, we review the situation again.

Unsubscribing to the newsletter is a snap. You can do that in your account or via the link at the bottom of the newsletter itself. And do you want no more cookies at all? You can take care of that, too. Read how to do that in our cookie statement.

We want to make sure you are really you. Therefore, we may request additional information from you to establish your identity. We do the same for unclear requests.
